In order to ensure the Ardens Diary Recall system works most effectively for you, you must carry out some initial housekeeping to get rid of any irrelevant diary entries.
We have provided searches to try and support you in this:
The most useful searches are included in the *ALL Ardens Diary entries (after 1/4/18) and the *ALL Non-Ardens Diary entries (after 1/4/18) folders.
The *ALL Ardens Diary entries (after 1/4/18) includes any outstanding diary entries that is included in the Diary Follow-up template from the 1/4/18. We recommend working on report number 3 of this folder. This will help you to establish the type of outstanding diary entries.
We would recommend running the *ALL Non-Ardens Diary entries (after 1/4/18) searches to establish whether you are using any diary entries currently, which are not supported by our Ardens-QMasters Diary Recall System.
The results of these, can then be used to consider the best approach. For example:
- To establish whether any / all of the old diary codes are actually being used by anyone in the practice and complete any which are not.
- To manually replace all current diary entries using the codes we have included.
- Run a ‘dual system, retaining any current recall system you have in place while you let the migration to new codes happen organically.
The ALL Diary Entry Searches (after 1/4/18) includes all diary entries on any patient record since 1/4/18 that still remains outstanding.
The ALL Outstanding Diary Entry Searches includes every single outstanding diary entry on any patient, regardless of due date. These will both produce large lists of patients but can be used as part of a more thorough clean-up if required.
Unfortunately, EMIS diary entries do not auto-complete unless they are moved on to a new date. Thus, diary entries need to be manually completed when the item has been done. This may mean for example, that a clinician needs to complete the diary entry when a blood test result comes back.
Diary entries are manually completed via the Diary tab in the patient care record. Once you access the Diary tab, select the item and click on the Complete button on the EMIS ribbon.
The searches provided can also help with the ongoing housekeeping. By reviewing the searches for the individual items, you can see at a glance whether the diary entry has a subsequent result. This can then be completed as appropriate.
The main tool provided for ongoing housekeeping is the Diary Completion Detector protocol. This is triggered on ‘Save consultation’ by default and means that any user will be alerted to an outstanding diary entry which appears to have a subsequent result. We recommend that you have a system in place for ensuring that these are actioned.
