To assist practices with planning during COVID-19, Ardens have further developed the Chronic Disease (QOF) Recall System to priorities 'at risk' patients to be invited in for annual reviews. The updates are available in v4.1 onwards.


The original system is based on calling patients in with one or more condition during their month of birth. Practices now have the choice of prioritising as follows:


  • All Patients- includes all QOF patients. This is the original Chronic Disease (QOF) Recall System that has not changed. 
  • BAME Population - QOF patients with a BAME ethnicity recorded.
  • Risk stratified patients - high and medium risk patients. Based on NHS England approved risk stratification criteria. 
  • High risk COVID-19 complications (prev Shielding) - patients with a shielding code recorded.


To access the searches, navigate to the Population Reporting module > Ardens Searches > Chronic Disease (QOF) Recall System folder.


To identify patients to invite in for a review, select the 1. Invitation Searches folder



The BAME Population, COVID-19 Ardens Risk Stratified Medium/High, COVID-19 Shielding folder all follow a similar structure. They all have 'People to invite' and 'Invitation coding' (as per our main QOF recall).



The difference here, is the addition of 2 invitation folders. The  XX-People to Invite folder is now separated into the following sub folders:


This gives practices the choice of inviting these patients by:

  • Recall Month - allows practices to send a 1st or 2nd invitation to patients only with a certain month of birth (as per main recall system here).  The search results will include all patients due a recall who are either born in the chosen month or have a recall arranged code, they have an outstanding review and have had no previous invitations this financial year.
  • Whole Year - allows practices to send a 1st or 2nd invitation to patients regardless of their month of birth.


The 'whole year' folder has the added advantage of displaying all patients in the chose cohort who appear on one or more QOF register and who have not had a review yet this financial year nor been invited yet this year. These patients are shown in a matrix with their conditions in this report:


Click 'view results' and then 'Export to csv' to see it in a format you can manipulate.


You can use any of these folders to run your QOF recall this year.


Use case examples

Example 1

You have been asked by your CCG to focus on BAME patients to ensure protection of your QOF income. You want to see how many BAME patients you have with different conditions:


1. Navigate to the folder shown, right click and choose 'Run':



2. Once the suite has run, click into the folder 'Coded BAME - 1st invitation (whole year) and then choose the report outlined below and click 'View results':



This will show you a breakdown of all patients with a 'yes' or 'no' in columns corresponding with their QOF conditions which you can export to CSV as required.


Example 2

You have been asked to prioritise the 'Risk Stratified' population

1. Navigate to the folder shown, right click and choose 'Run':



2. Once the suite has run, click into the folder 'COVID-19 E - 1st invitation (whole year) and then choose the report outlined below and click 'View results':



This will show you a breakdown of all patients with a 'yes' or 'no' in columns corresponding with their QOF conditions which you can export to CSV as required.
