Ardens has provided practices with a suite of searches to support practices that are required to recall children for their scheduled routine imms, plus uptake searches monitor overall progress. The searches are based on the latest public health guidance. 

 

To locate the searches, access the Population Reporting module > Ardens Searches folder > 3.21 Vaccinations - Childhood Imms (0-5y).

 

 

Recall

This folder includes a breakdown of the different cohorts, each containing reports to identify patients due an invitation. Practices may wish to use these reports to recall patients if not being invited centrally by Child Health.



The reports for each cohort will follow the same structure. Below is an example of the Primary 8 week imms. 



The first, second and third invite due reports are looking for specific invite codes (as shown in the title of the search) and will only pick up the codes applied while the patient has been registered at your practice. Therefore, if a patient has been sent a first invite at another organisation, this will not be picked up in the searches. 


The For Review - Some 8 week imms missing identifies patients that have some of the routine imms but not all and we advise practices to further investigate these children. It maybe they have had immunisation incorrectly coded and the report will show the immunisations that are missing. You may wish to use the Ardens Childhood Immunisation template to capture the correct codes. 

 

The INFO – 8 week primary imms - 3+ invites>7d ago report highlights patients that have had more than three invites but no immunisations are still due. For safeguarding reasons, you may wish to follow these patients up.


Note that patients that have declined or contraindicated will not return in these reports and list of these patients can be seen in the 'More detail' folder.


 Uptake 

The uptake reports allows you to monitor the number of children based on their age that have or have not received immunisations. 


This is useful for practices where children are invited centrally by Child Health and you wish to chase up any missed immunisations. 


The Ardens Child imms weekly report provides details of immunisations given in the last week. If you wish to look at alternative week, when running the search use the 'Advanced options' to set a preferred date.


Miscellaneous

This folder includes searches to support various uptake figures.



The COVER Programme is a quarterly data collection with the aim of providing more timely and accurate vaccination coverage data than  available through annual collections. The searches provided will allow you to specify which quarter you wish to view data for.



Please note - patients that reach the eligible age for extraction during a quarter will be extracted for the following quarter e.g. patients returning in the Q1 folder will be extracted at the beginning of quarter 2.


The CQC uptake searches provide details of patients that meet the requirements. 


The MMR before schedule (from 18m) will identify children that have had their 1st MMR dose but are awaiting a 2nd dose. Practices may wish to review this list of patients and invite the patients for their 2nd dose.

Troubleshooting

 

I have patients appearing in the ‘For Review Some 8 weeks imms missing’ and I am not sure which immunisations are still outstanding and which immunisations the patient has had?

Once the report has been run, click on the "View Results" option on the EMIS Web ribbon to view details of the immunisations missing.


I have sent a first invite due for the patient, but they are not disappearing from the search?

Ensure you are using the correct first invite due code, the recommended code to use is included in the title of the appropriate search . Also check that the patient had been fully registered at your practice during the time you sent the first letter.

 

I have a patient not appearing in the "INFO –  xx week primary imms 3+ invites >7d ago" report but they have had all recommended immunisations?

Ensure that all the vaccinations are coded correctly, the Ardens "Childhood Immunisation" template can help with this.

 

How often should I be running these searches?

Due to specific schedules set for patient receiving the immunisations, we suggest running the searches weekly to ensure you are inviting patients in close to the required age range as possible.

 

What should I be doing if there has been no response to 3 invites?

It’s important that the patient is followed up, we have provided searches to help you identify these patients. We suggest following practice processes on escalating any concerns for these patients. 

 

How can I make sure my practice staff are entering the correct vaccination codes to ensure we are being paid correctly?

Point them to the Ardens "Childhood Immunisation" clinical template.
