Ardens has created a suite of searches and reports to support the management around access to online patient records.


To access the search folder, navigate to the Population Reporting module > Ardens Searches > 1.31 Administration – Registration > Online access folder.



The folder is then broken down by four sub folders.


Online access – access level 

This folder breaks down the access levels patients have to their online records.



Online access – age 11 and 16

This folder contains searches showing patients turning the relevant age this month. The Turning 11 this month search then further breaks down by those that have online access (either live or active), you may wish to consider disabling the access of patients displayed in these results.


The Turning 16 this month search further breaks down by those that do not have online access.  You may wish to consider offering online access to these patients.




Online access – proxy access

This folder contains searches to support the management of proxy access to online patient records.  Proxy access refers to access to online services by someone acting on behalf of a patient. For example, proxy access allows parents, family members, carers, and care home staff to have access to the online account of the person they care for, in order to book appointments or request repeat medication.  It is also possible for a proxy user to view aspects of the patient’s medical record.

 

The searches within this folder identify patients who have a proxy coded in their records, broken down by children aged 11-13yr and those with a proxy irrelevant of age.

 


Online access – record review code

This folder contains searches to assist practices with identifying patients who have been coded for enhanced review or not, prior to online access to their full medical record being granted.  The folder contains four searches. Two searches relate to patients whose online access is already active or live, and for whom an enhanced review is either indicated or not indicated, before access is granted for full medical record view.


 The other two searches identify patients whose online access is not active or live, and again, for whom an enhanced review is either indicated or not indicated, before access is granted for full medical record view.



Online access – status

This folder contains searches breaking down the patients online access status.  The Online users: services client report provides information on the numbers for the different online services providers e.g. NHS App, Patient Access, Evergreen Life.


Please note that the figures within the Online Access:Active search may differ to the report, this is because patients may have access to more than one app.
