The following instructions will guide you through setting a recall date to be included in the Ardens Diary Recall System.


The Ardens Diary Recall System is based on the use of diary entries and it is important practice staff are recording this correctly for the system to work efficiently. To find out which recalls are included click here.


The recalls can be added via an existing Ardens template or by using the dedicated Diary Recall Template.


Setting a Recall Date within an Existing Ardens Template

Often a new recall date is decided on during a consultation with a patient. For example, a patient has been given a B12 injection, and its decided the patient is to repeat the B12 injection within the next 2 months. Using the appropriate Ardens Injection Template, the clinician will update the relevant follow-up section as shown below:



Once the information has been captured, ensure you Save the template.


Setting a Recall Date using the Ardens Diary Recall Template

The Diary Recall Template is to be used only to capture recalls. This template maybe helpful for Admin staff coding hospital letters or clinicians needing to capture ad-hoc recalls such as blood tests.


Access the Diary Recall template in one of the following ways:

  • Click on the Run Template option within the consultation.
  • Click on the Add > Data using Template option outside of a consultation.
  • Launch the template via the F12 option (please note the Launch Diary Recall Template protocol needs to be added for each individual user).


If you have accessed the template via the Run Template or Data using Template option the Template Picker screen will display. Search for the Diary Recall Template using the search box provided or folder navigation pane. Select the template and click on OK.


On accessing the template, the Diary Alerts page will display. This will provide a summary of the current diary entries for the patient.



The template has been broken down into further pages on the left hand side, click on the relevant page, depending on which recall needs to be set for the patient and complete the appropriate data fields.


For example, a patient is required to return for a PSA.

  • Select the Investigation-Bloods page.
  • Scroll down to the PSA section of this page and select the tick box for Diary entry for next Prostate specific antigen. Optionally add any additional free text.
  • Select the date you wish patient to be recalled using the date field provided.


Please note - entering shortcuts for dates such as 'd' (for days) 'w' (for weeks) 'm' (for months) and 'y' (for years) will automatically work out the time frame from the date displayed.


Any existing diary entries for the particular item will display to the right-hand side of the date field. If you are choosing an item that has an existing diary date, a yellow warning will display, reminding the user that any new date added will replace this. Please remember, EMIS only allows one diary entry date in at a time for the particular item. 



Once the recall dates have been recorded, Save the template.
