We have provided a suite of searches to help practices to identify patients who require a recall. The searches provided can support future planning of appointments to be booked and safety netting to ensure patients are not missed off the system.
The searches can be run at any point depending on the recall, the reason for this is some may be better to run monthly and others more frequently such as weekly. Each suite of search includes:
- Diary entries due within the next month
- Diary entries overdue by up to a month
- Diary entries overdue by more than a month
To access the searches:
Navigate to the Population Reporting module > Ardens Searches > 1.20 Ad Hoc Reviews - Diary Recall folder.
The searches are broken down as follows:
- Ardens Diary Entry Searches – includes searches for diary entries that are included in the Ardens Diary Recall System. These can be broken down by further sub folders to easily navigate to the required group of recalls. Use these group of searches to identify patients due a recall a month ahead or still remain outstanding within a month or more than a month.
- Chronic Disease Annual Rev Diary Searches - includes searches to support practices with identifying patients due an annual review for LTC's.
Diary Recall Housekeeping Searches - includes searches to support practices with identifying outstanding diary entries. Use these group of searches for initial and ongoing housekeeping for the Ardens Diary Recall System.
Medication Review Diary Searches - includes searches to identify patients due a medication review in next month and are outstanding.
Ardens Diary Recall Searches
Select the relevant folder in the Arden Diary Entry Searches folder depending on the group of patients required for recalling.
Each search will display an associated report, which has been designed to show which patients have diary entries due and whether they have an upcoming appointment . In the searches relating to a specific diary entry, where the diary entry is overdue, it also includes the most recent result of the investigation since the diary entry date.
To view the search criteria:
Select the required search and click on the Definition tab. Double click on the Clinical Code feature to display the list of codes included in the search.
To run the searches individually:
Select the required search and click the Run option on the ribbon (alternatively, right click and select Run).
To run all searches contained in a folder:
Select the required folder and click the Run option on the ribbon (alternatively right click on the folder and select the Run option).
To view search results:
Once the searches have been run, the results will display under the Population Count column next to the required search.
To view the list of patients that meet the search criteria, click on the Population Included tab.
To view the results of a report:
Select the required report and click on the View Results button on the EMIS ribbon (alternatively right click on the report and select View Results).
The report will display as follows:
The information shows details of the diary entry and whether the relevant test/investigation has been carried out for the patient within the same time period. It will also display details of any booked appointments for the patient. We recommend the report is used to contact all patients who are due or overdue a diary entry, checking whether or not a future appointment has been made for the patient and whether or not the test / investigation has already been carried out in the appropriate time frame (completing the diary entry if no longer required).
We also recommend that a clinician review those patients who have a diary entry and an investigation result after that date. This may mean that a new diary entry is required or that the previous one is to be completed.
