Housekeeping is important for your clinical system. The following instructions recommend housekeeping actions to make using the Ardens resources for EMIS Web as streamlined as possible.

 

Deactivating/Archiving Clinical Templates and Protocol

 

We suggest a discussion with all stakeholders on which templates the practice no longer needs to use, before deactivating/archiving any resources.  This will save confusion among practice staff on which templates to access. 

 

The practice can decide whether to just Deactivate a clinical template or protocol or whether to Archive. Deactivated templates/protocols will still be visible within the Template Manager/Resource Publisher module but will appear greyed out, whereas Archived templates/protocols will not be visible (unless the Show Archived option is selected on the EMIS ribbon). 

 

  1. Access the Template Manager or Resource Publisher module, select the Protocols & Templates tab.
  2. Locate the template or protocol.
  3. Right click on the item and select Status > Deactivate/Archive (alternatively click on the Deactivate/Archive option on the EMIS ribbon):

  

You may wish to deactivate/archive an entire folder.  To do this select the folder and select Status > Deactivate/Archive.


Removing Clinical Templates from the Template Picker Screen

When accessing the Run Template option (or Data using Template option), any Recently Used templates will display to the left of the screen for the individual user. Over time, the user may find certain templates in their recently used list are no longer required and it is good practice to clear this to avoid choosing any out of date or incorrect templates.

 

  • To remove a single template, right click on the template and select Remove.
  • To remove all templates from the list, right click on the template and select Remove All.

 

 Please note - this will only remove templates from the individuals recently used list.

 

Deactivating/Archiving Document Templates

 

We suggest a discussion with all stakeholders on which document templates the practice no longer needs to use before deactivating/archiving any resources.  This will save confusion among practice staff on which documents to access.  This is of particular importance for Pro customers.

 

  1. Access the Template Manager or Resource Publisher module, select the Document Templates tab.
  2. Locate the document.
  3. Right click on the item and select Status > Deactivate/Archive (alternatively click on the Deactivate/Archive option on the EMIS ribbon).  Please note Resource Publisher sites will not get the option to Deactivate, only Archive.

 

Removing Document Templates from the New Patient Letter Screen

When accessing Document > Create Letter the user may find certain document templates in their recently used list are no longer required and it is good practice to clear this to avoid choosing any out of date or incorrect document templates.  

 

  • To remove a document template, click on the magnifying glass icon.
  • Recently accessed documents will be displayed, click the red cross against the required document template to remove from the list.

 

Please note - this will only remove document templates from the individuals recently used list.

 

Deleting Searches

We recommend deleting any searches that are no longer needed or is a duplicate. We suggest each individual user that 'owns' a searches folder, does this separately.

 

  1. Access the Population Reporting module and locate the required search or folder.
  2. Right click on the search (or folder) and click on the Delete button.

 

Please note - this will permanently delete the searches and must be used with care!

 

The deleting process can often take some time, and on some occasions may crash out due to EMIS bugs.  You may therefore prefer to create a sub folder labelled *DO NOT USE.  Right click on the search (or folder) you were going to delete and select Cut and then Paste into the *DO NOT USE folder, for deletion at a later date.
