The Ardens resources include many data quality and clinical safety alerts, many of which are set to display for all practice staff.  But they can also have specific triggers applied to them that you may wish to change, such as to include additional roles or job categories for whom an alert will be visible.


There are three types of trigger that you may wish to change, although 'job categories' is probably the most likely one a practice would wish to alter.  Please take care when changing the Ardens triggers to only display for specific job categories, as there could be the potential of staff members missing important information.


Please note:  When triggers have been changed, users may need to log out of EMIS Web and back in again, in order for trigger changes to be activated.


A system trigger will perform an automatic action; it tells the protocol when to work, such as displaying the alert when a code is added, an appointment booked, or when a consultation is saved.




You can also set a ‘Run type’ for a protocol to either always run, or to prompt the user to decide if it should run.



Tip: To understand the different run modes, click on the ? symbol to the right of the Run Mode drop down list.




And thirdly, there are triggers for job categories, so that an alert will only show for specified role types and not for others.



Here, you can select All job categories, or if you wish to be selective, you can select Specific job categories instead, and then tick each of the categories to be included.

 

Sometimes, an Ardens protocol will be published to your EMIS system with defined triggers and a practice may wish to amend these, such as to include other roles for whom the alert will show.

 

An example of this is the ‘Task reminder if form done’ protocol, which will remind the user to send a task to secretaries when adding a referral code to a patient record.



This protocol is set by default to always run when the patient record is updated, and there are specified job categories for whom this will happen.

 

GP practices may wish to view the triggers that have been applied to protocols, to check whether these are still relevant and appropriate for them, or to change them if necessary. 

 

To check the protocol in this example, locate and highlight the protocol in Resource Publisher.  Then, right click and select Protocol and then Manage Triggers.


 


The Manage Triggers screen will display.





It will show the trigger for the protocol (in this example, the system trigger is ‘Update Patient Record’), the Run Type (in this example it is ‘Always Run’) and also the Job Categories that will see this alert.

 

 

To edit the triggers of a protocol, go to the Manage Triggers screen for the selected protocol, select the trigger you wish to change, followed by selecting Edit.  (If the Edit button is greyed out, it means you have not selected a trigger).




 

The Edit Trigger screen will display, allowing you to make changes to the System Trigger, the Run Mode or to edit the Job Categories, for whom this protocol or alert will show.




Choose your preferences using the drop down menus for system trigger and run mode and select OK to save.

 

If it is the job categories that you wish to amend, tick against the categories that you wish to include (and untick to deselect those you do not wish to be included) and then click OK to close this screen. Then select OK to close the Manage Triggers window.  The alert will now display only for thejob roles selected within the trigger.

 

Please note:  When editing triggers, if you should come across the following Recursive Execution Warning message, it is usually OK to select Yes on this screen.
